There are multiple options available to partners for creating student, teachers, and class rosters into MAP Growth and MAP Reading Fluency.  This article contains general information about available roster options.

Rostering for NWEA

To administer tests in MAP Growth or MAP Reading Fluency, you must submit a roster for each term that includes students, teachers, and classes. Both programs use the same roster submitted to NWEA. Follow the steps below to complete rostering:

Rostering with Clever

How do I fix roster sync errors in Clever?

Answer:

To resolve roster sync errors in Clever, start by reviewing the error details in Clever to identify the issue (such as missing data, duplicate records, or mismatched fields). Then, update the data in your source system (typically your SIS or Clever) to correct the issue.

Common fixes include:

        • Ensuring required fields (like names, IDs, and emails) are complete and accurate
        • Resolving duplicate or conflicting user records
        • Confirming that classes, teachers, and students are properly assigned
        • After making updates, allow Clever to re-sync the data with MAP.

Does Clever support classes with multiple teachers?

Answer:

Yes. Clever supports classes with a primary teacher and additional co-teachers, and these are imported into MAP as true multi-instructor classes.

In contrast, with manual rostering, MAP creates separate (duplicate) classes for each instructor.

How many co-teachers are supported?

Answer:

Clever supports up to 10 teachers per class (including the primary teacher and co-teachers).

 

How do I disable or re-enable auto-rostering with Clever?

Answer:

You can disable or re-enable auto-rostering with Clever directly within MAP by adjusting your rostering settings.

        • • To disable auto-rostering, turn off the Clever sync in your MAP rostering settings
        • • To re-enable auto-rostering, turn the Clever sync back on

After making changes, allow time for the next sync cycle for updates to take effect.

Manual Rostering

What fields are required in the roster template?

Answer:

The required fields depend on the file you are uploading, but in general, you must include the core identifiers needed to create and link users, classes, and schools.

At a minimum, required fields typically include:

        • Students: Student ID, First Name, Last Name, School, and Grade
        • Instructors: Instructor ID, First Name, Last Name
        • Classes: Class Name/ID and associated School
        • Enrollments: Links between students, instructors, and classes

These fields ensure that students, staff, and classes are properly created and connected within MAP.

NOTE: it is STRONGLY RECOMMENDED to include Email, StudentID, and StaffID for user matching.

How do I fix errors when importing my roster file?

Answer:

If you encounter errors during a roster import, start by reviewing the error messages provided during validation. These messages identify issues such as missing required fields, incorrect formatting, duplicate values, or invalid data.

To resolve errors:

        • Review the error details in the import summary to understand what needs to be fixed.
        • Correct the data in your roster file (e.g., fix formatting, complete missing fields, remove duplicates).
        • Use tools like Excel filtering to quickly identify and isolate problematic records.
        • Re-upload the corrected file and validate again.

If you see a general error message like “We have encountered an error with your file,” it typically indicates a formatting or structural issue in the file that must be corrected before proceeding.

Why am I seeing duplicate email or username errors?

Answer:

This error occurs when a user account is being created or updated with an email address or username that already exists in MAP. Each user must have a unique email and username, so duplicates cannot be processed.

Common causes include:

        • The same email or username is assigned to multiple users
        • A user already exists in MAP with that email/username
        • Duplicate records in your roster file or source system

To resolve this, review your roster data and ensure each user has a unique email and username, or update/remove duplicate accounts as needed.

How do I reconcile instructor and student errors?

Answer:

To reconcile instructor and student errors, review the errors identified during your roster import and correct the underlying data issues before reposting valid records.

        • Open the Import Summary and select Reconcile Errors.
        • Review each error and identify the cause (e.g., missing fields, duplicate records, invalid IDs, or mismatched data).
        • Update the roster file or source data to correct the issue.
        • Re-upload the corrected file and complete the import process.

Resolving these errors ensures that students and instructors are properly created, assigned, and available for testing and reporting.
