Required student reporting attributes

Information
To be included in any reports, a student must have all attributes required for reporting.

Which fields or attributes are required for reporting?

 
Basic student information

  • First name
  • Last name
  • Student ID
  • Date of birth
  • Gender

 
Term information

The student must be rostered for the term and have the following information in order to appear on reports for that term:

  • Grade
  • Ethnicity
  • School of record
  • Class

 
How can I find students who are missing reporting attributes?

Users with the Data Administrator role, District Assessment Coordinator role, or School Assessment Coordinator role can view the Students Without Reporting Attributes report. Users with access to Manage Students can inspect the student's data manually to check for missing fields. See How to repair students on the Students Without Reporting Attributes report.

 
How do I fix students with missing reporting attributes?

See How to repair students on the Students Without Reporting Attributes. For large numbers of students with missing reporting attributes, it may be better to import a roster file. See How to import rosters in MAP. Changes take overnight to take effect on reports. After adding missing attributes, check reports the following day.

 
Can students with missing attributes still take tests?

Yes. Students who have been rostered to a term with basic student information but are missing reporting attributes will be able to test. Their scores will not appear on reports until the missing attributes are added.
 

Can student RIT scores be viewed without reporting attributes?

Data Administrators can view RIT scores for student assessments using the following steps:

  1. Navigate to Manage Students.
  2. Search for the student.
  3. Select the student and choose View/Update Test Events.
  4. A list of the student's complete and terminated tests appears. The Score column contains the student's RIT score.
  5. Optionally, select the test and choose View Details to see more information about how the student answered each question.

 

Race and Ethnicity reporting requirements guidelines

The U.S. Department of Education requires districts to collect two pieces of race and ethnicity information for each student and report back with a single response. For each student they must determine an ethnic group and whether they are Hispanic. The merged response might be something like: Black or African American or Hispanic/Latino. NWEA tracks assessments, not student race or ethnicity, so we are not obligated to follow the requirements of the Department of Education. Our roster file template has only one field for student ethnic group.

 

When reporting data to the U.S. Department of Education, schools will report aggregated racial and ethnic data in the following categories:

  1. Hispanic (regardless of race)

For individuals who are not Hispanic:

  1. American Indian or Alaska Native
  2. Asian
  3. Black or African American
  4. Native Hawaiian or Other Pacific Islander
  5. White
  6. Two or more races
  7. Nonresident alien (for whom race and ethnicity is not reported)
  8. Race and ethnicity unknown

 Note: The roster file format has only one field for student ethnic group. It is required for MAP Growth.
 

When filling out the roster template, can I extract from my database the same merged race and ethnicity info I am sending the Department of Education (such as "Black or African American") and drop it into the roster?

Yes. We have the flexibility to accept ethnicity information in this format. Our roster template supports the Department of Education's reporting requirements (one field) as opposed to their collection requirements (two fields). 

 

When the Department of Education requests student profile information, must I send them student assessment scores as well as race, birth date, etc.?

No. The Department of Education is requesting profile information about the student, not about that student's test scores. You are not required to provide any student testing data.
